Position Title: Departmental Secretary

Department: Multiple Departments Immediate Supervisor: Director Status: Non-Exempt Remuneration: 56% – 76%

Position Summary:

The Departmental Secretary performs a variety of secretarial and clerical tasks under the general direction of the Department Director. Duties and Responsibilities:
  • Greets public in person and on the telephone, provides general information, answers questions and directs individuals to appropriate party as necessary.
  • Performs general secretarial and clerical duties, including typing, copying and filing correspondence, memos, letters, etc. for your departments.
  • Design, prepare flyers and binder material for annual conferences.
  • Creates new files and enters and updates contact information into computer.
  • Orders and maintains adequate inventory of office supplies for the department.
  • Schedules and maintains daily calendar of supervisor; makes travel and lodging arrangements as required.
  • Processes incoming mail – opening, dating, sorting, and distributing, if necessary, to departments.
  • Transcribes correspondence or other written material.
  • Assists director in preparation of various committee agendas.
  • Assists director in preparing reports and special projects.
  • Schedules and maintains daily calendar of supervisor; makes travel and lodging arrangements as required.
  • Screens telephone calls – responds to routine/non-routine inquiries using standardized formats; refers sensitive, unusual or complex inquiries to supervisor or other appropriate offices.
  • Processes incoming mail – opening, dating, as supervisor requires.
  • Transcribes correspondence or other written material.
  • Assists supervisor in preparation for various meeting printed programs or agendas.
  • Assists supervisor in preparing reports, special projects.
  • Performs other related duties, as required.

Position Title: Accountant

Department: Treasury
Supervisor: Treasurer
Status: Exempt
Wage Scale: 61% – 69%

Job Summary

An accountant is one who applies principles of accounting to install and/or maintain operation of the total accounting system. This individual is knowledgeable as to the reasons for, and the effect of, various accounting procedures.

Duties and Scope of Responsibilities

  • To perform cash receipts duties
  • To perform Church remittance duties
  • To perform the accounting function of monthly financial statement reporting.
  • To assist with conference audits of local churches and schools in association with the Conference Head Auditor.
  • To assist the Conference Auditor in facilitating the Conference Summer Auditor Internship Program.
  • Accounts Receivable Invoicing
  • Perform other duties as required or assigned

  • Must have an expressed commitment to Jesus Christ, the teachings and mission of the Seventh-day Adventist Church, a member of a South Central Conference Local Church in good and regular standing, and a desire to serve in a cooperative, spiritually redemptive, and soul-winning atmosphere

Typical Physical Demands

This position requires sitting, standing, bending and reaching. Additionally, It may require lifting up to 50 pounds. It also requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, the telephone and other office equipment. The person who fills this position is required to have a normal range of hearing and vision.

Position Requirements

Must have general knowledge of the church organizational structure and how it relates to the specified job description. Should possess the ability to develop long and short-term goals and apply them the everyday work environment. Possess the ability to effectively present facts and recommendations in oral and written form; must be results-oriented while maintaining a service oriented philosophy. Have a minimal BA/BS, degree in accounting.

Must possess advanced interpersonal and sensitivity skills; must remain calm and controlled under periods of stress; must relate well with administration and project a professional, Christian image.

Level of Supervision Required for Significant Tasks

Independently responsible for success of assigned projects, programs, etc.; reports to Conference Treasurer.

Working Conditions

Essential tasks are performed under normal office conditions with little/no noticeable discomfort. Work area is well lighted and ventilated.

Some local/long-distance travel is required. It is expected that individual will work the hours required to complete duties of the position.
